1. Overview
SmartPrinter.ink ("SmartPrinter", "we", "us") builds software that connects phones, computers and cloud services to printers. This Privacy Policy covers the smartprinter.ink website, the Smart Printer Scanner App for iOS, Android, macOS and Windows, and the SmartPrinter Cloud printing service (together, the "Service").
We are the data controller for the personal data described in this policy and we operate from the United Kingdom. We process personal data in accordance with the UK GDPR, the Data Protection Act 2018 and, where applicable, the EU GDPR.
The short version: we collect the minimum needed to run the Service, we never sell your data, we never read the contents of what you print or scan, and you can ask for a copy or deletion of your data at any time by emailing i@smartprinter.ink or hi@smartprinter.ink.
2. Data we collect
- Account data — name, email address and password hash when you create an account; billing status if you subscribe to SmartPrinter Pro.
- Printer & device data — printer make, model, firmware version, connection type, ink/toner levels, your device model and OS version. We use this to configure printers and diagnose compatibility issues.
- Usage data — feature usage events (e.g. "label printed", "scan completed"), app version and crash reports. These are aggregated and never include document contents.
- Support data — messages you send us by email, phone or the contact form, so we can help you and improve the Service.
- Website data — server logs (IP address, browser type, pages viewed) kept briefly for security and capacity planning. Our website works without advertising trackers.
3. How we use data
- To detect, configure and communicate with your printers.
- To deliver cloud print jobs you initiate and show live printer status.
- To provide customer support and respond to your requests.
- To process subscriptions (via Apple and Google — see section 7).
- To fix bugs, improve reliability and develop new features.
- To meet our legal obligations and enforce our Terms of Service.
We do not sell personal data, and we do not use the contents of your documents for advertising, profiling or training machine-learning models.
4. Your documents, photos and scans
Documents are rendered into print data on your own device. For local printing (Wi-Fi, Bluetooth, USB), your document never touches our servers. For SmartPrinter Cloud jobs, the encrypted job passes through our relay only for delivery and is permanently deleted the moment the printer confirms receipt — typically within seconds. We cannot open, view or reconstruct your documents, which are protected in transit with TLS 1.3 and end-to-end AES-256 encryption.
5. Legal bases for processing
- Contract — providing the Service you signed up for.
- Legitimate interests — security, fraud prevention, service analytics and improving compatibility, balanced against your rights.
- Consent — optional communications such as product news; withdraw at any time.
- Legal obligation — tax, accounting and lawful requests from authorities.
6. When we share data
- Service providers — hosting (e.g. Google Cloud / Firebase), email delivery and crash reporting providers, bound by data-processing agreements.
- Apple and Google — for app distribution and subscription billing (section 7).
- Legal reasons — where required by law or to protect the rights, safety and property of you, us or others.
- Business transfers — if we are acquired or merge, data may transfer under the same protections; we will notify you of any change of controller.
7. App Store & Google Play (platform policies)
The Smart Printer Scanner App is distributed through Apple's App Store and Google Play, and our data practices follow both platforms' rules in addition to this policy:
Apple App Store (iOS)
- We comply with the App Store Review Guidelines and Apple Developer Program License Agreement.
- Our data practices are disclosed in the App Privacy "nutrition label" on our App Store listing.
- We do not track you across other companies' apps or websites, so the app does not present an App Tracking Transparency (ATT) prompt.
- In-app purchases and subscriptions are processed by Apple In-App Purchase; Apple handles your payment details under the Apple Media Services Terms — we never see your card number.
Google Play (Android)
- We comply with the Google Play Developer Program Policies, including the User Data policy, and publish our practices in the Play Console Data safety section of our listing.
- Subscriptions are processed by Google Play Billing under the Google Play Terms of Service; Google handles your payment details — we never see them.
- The app requests only the permissions it needs (for example, local network access to discover printers, Bluetooth for Bluetooth printers, and photo access only when you choose a photo to print).
Apple and Google act as independent controllers of the data they collect through their stores. Please review the Apple Privacy Policy and Google Privacy Policy for details.
8. How long we keep data
- Account data — for as long as your account exists, then deleted within 30 days of account deletion.
- Cloud print jobs — deleted immediately on delivery (or after 24 hours if a printer stays offline and the job expires).
- Diagnostic logs — up to 90 days.
- Support correspondence — up to 24 months.
- Billing records — 6 years, as required by UK tax law.
9. Security
We use TLS 1.3 for all connections, AES-256 encryption for cloud print jobs, hardware-backed key storage on device, least-privilege access controls, and independent penetration testing. No system is perfectly secure — if we ever discover a breach affecting your personal data, we will notify you and the UK Information Commissioner's Office (ICO) as required by law.
10. Your rights
Under the UK GDPR and EU GDPR you can ask us to:
- Access — get a copy of the personal data we hold about you.
- Rectify — correct inaccurate or incomplete data.
- Erase — delete your account and associated data.
- Restrict or object — limit how we process your data.
- Port — receive your data in a machine-readable format.
- Withdraw consent — at any time, where processing is based on consent.
Email i@smartprinter.ink or hi@smartprinter.ink and we will respond within one month. You also have the right to complain to the Information Commissioner's Office (UK) or your local supervisory authority.
11. International transfers
Our primary infrastructure is in the UK and the European Economic Area. Where data is transferred outside the UK/EEA (for example, to a US-based crash-reporting provider), we rely on UK International Data Transfer Agreements or the EU Standard Contractual Clauses, plus supplementary safeguards.
12. Children
The Service is not directed at children under 13, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, contact us and we will delete it promptly.
13. Changes to this policy
We may update this policy as the Service evolves. Material changes will be announced in the app or by email at least 14 days before they take effect. The "Effective date" above always shows the current version.
